1. Controller
The party responsible for data processing on this site and in the bot "FarmSimBot" is the provider named in the Legal notice. You will find the contact details there as well.
2. What this is about
FarmSimBot is a Discord bot for Farming Simulator 25 servers. The panel on this domain is used to set up the bot for a Discord server. You can open the home page without logging in and without us collecting data.
3. Hosting and web server log data
This website, the panel and the bot are operated by Hetzner Online GmbH (Industriestraße 25, 91710 Gunzenhausen, Germany). The servers are located in Germany. For security reasons and to protect the transmission of confidential content, the site uses SSL/TLS encryption (HTTPS).
When you open the pages, the web server processes technically necessary data, for example IP address, date and time, requested page and browser identification. This is required for the secure and stable operation of the website (Art. 6(1)(f) GDPR). The log data is only stored as long as technically necessary and is not combined with other data. We have concluded a data processing agreement (DPA) with Hetzner pursuant to Art. 28 GDPR.
4. Login via Discord
You log in to the panel with your Discord account. We request your user ID, your display name, your profile picture and the list of your servers including your permissions from Discord (permissions "identify" and "guilds"). We use this to check which servers you are allowed to manage. This information is only stored on our server for the duration of your session. The session is managed by a technically necessary cookie. The legal basis is Art. 6(1)(b) and (f) GDPR. Logging out ends the session.
Data is transmitted to and processed by Discord (Discord Inc., USA). The transfer to the USA is based on the EU-U.S. Data Privacy Framework or standard contractual clauses. Discord's privacy policy applies.
5. Your server settings
When you set up the bot for your Discord server, we store the necessary information permanently:
- the server ID and name of your Discord server, the channel IDs and channel names (for the selection in the panel)
- the settings for the features (status message, mod notifications, world management, level system, birthdays, games)
- the address of the statistics feed of your FS25 server and, if you use the download feature, the stored credentials of the dedicated server (the password is stored encrypted)
- the role IDs and role names (for the selection in the panel)
- with Community: the settings and questions of the application system
- with Premium: a bot name chosen by you, an uploaded bot image and an uploaded map image for the live map
The legal basis is Art. 6(1)(b) GDPR (providing the requested function). If you reset the settings, they are overwritten. If you remove the bot from your server, we automatically delete all data stored for this server after 30 days, including the settings, the channel list and the data of the level system, birthdays and games. The 30 days give you time to invite the bot again after an accidental removal. On request we delete the data earlier (see contact in the legal notice).
5a. Public server list
If you switch on the public server list for your Discord server in the panel, it is shown publicly with the LS25 servers you selected on the “Server list” page, including to visitors who are not signed in. Shown are: title, description, language and freely chosen tags, the invite link you provided, the name of your Discord server as well as, for each selected LS25 server, players online, map name, game version, number of mods and the history of the player count. For this we store the player count every five minutes (only the number, no player names) and delete these values after 35 days. The server address and the feed credentials are never shown. The legal basis is your consent (Art. 6(1)(a) GDPR), which you give by switching it on in the panel. You can withdraw it at any time by switching the list off. The entry then disappears immediately.
On your community page you can publish texts (about us, rules, links, team, events, FAQ) and, with Premium, images (banner, logo). We store this content until you delete it or switch the list off. Uploaded images are re-encoded, which removes embedded metadata. The “Gallery” block only links to images at providers such as Imgur or Discord; we do not store these images. When the page is opened, your browser loads them directly from the respective provider, which transmits your IP address to it. We review links, image links and images before they are shown. You are responsible for the content and must not infringe third-party rights or publish personal data of third parties without their consent (for example names in the team section).
Anyone who pushes or reports a server signs in with Discord. For this we store the Discord user ID, the server and the date (push) or the reason entered (report). This protects against abuse (at most one push per server and day). Pushes are deleted after 400 days, handled reports together with the entry. The legal basis is Art. 6(1)(f) GDPR (protecting the list from manipulation).
6. Data of the members of your Discord server
Depending on the enabled features, the bot processes data of the members of a server:
- Level system: Discord user ID, collected experience points, level and times of voice channel participation. For messages, only the fact that they were sent is counted (length and time interval). The content is not stored.
- Birthdays: Discord user ID and the given date, if a member enters their birthday themselves.
- Games: Discord user ID and scores.
- Application system (Community): When someone applies, the bot stores the Discord user ID, the display name, the answers to the server's questions (voluntary information), the measured values of a connection test (ping, jitter, download, upload), the times, the reviewers' votes and the decision with a possible reason. The connection test runs on this domain and stores nothing else about you, the web server log data (section 3) remain unaffected. We delete completed applications automatically after 365 days. The bot asks the questions by private message.
- Verification (Community): When someone signs in through the web page, the bot reads the user ID, display name, whether 2FA is active and whether a profile picture exists from Discord (“identify” permission). The access token is revoked immediately and not stored. The log of attempts (user ID, name, result, reason) is stored for up to 365 days. If the server turns on the hint for multiple accounts, we also store an encrypted short value of the connection, never the IP address itself, and delete it after 30 days. The server can remove unverified members after a deadline.
- Ticket system (Premium): When you open a ticket, the bot stores your Discord user ID, display name, the chosen topic, the answers in the form and all messages in the ticket (for direct message tickets also your private messages to the bot and the team’s replies) with their time. Images from tickets are saved for the transcript (Community). The server owner decides how long this is kept (7 to 365 days after closing); after that the conversation, images and rating are deleted. In direct message tickets the team reads along. You can optionally rate the support with 1 to 5 stars. Viewing a ticket by link requires the secret link that the member receives by private message after closing.
- Mod ratings and link changes: Discord user ID and display name, if a member rates a mod or changes a link. This information belongs to the mod database and applies to all servers, so it is not deleted when the bot is removed. We delete it on request.
- FS25 status: Names of players logged in on the FS25 server are read from the statistics feed in order to report joining and leaving. They are only cached briefly. For the live map (Premium), the names and positions of players are also read from the feed and shown in the map image in Discord. They are not stored for this.
The legal basis is Art. 6(1)(f) GDPR (providing the features for the community). The operator of the respective Discord server decides which features are active and is responsible for this towards the members. If you want to view or delete your stored data, write to us using the contact details in the legal notice.
7. Premium via Patreon
Premium is billed through Patreon. When you connect your Patreon account in the panel, we request your Patreon ID, your name, the status of your membership, the amount and the tier from Patreon. We store this information together with your Discord user ID and the servers you have unlocked in order to assign Premium (Art. 6(1)(b) GDPR). We do not receive payment data, Patreon processes it.
Data is transmitted to Patreon (Patreon, Inc., USA). The transfer to the USA is based on the EU-U.S. Data Privacy Framework or standard contractual clauses. Patreon's privacy policy applies. The link is deleted when you end it or the subscription expires and you request deletion.
When you subscribe via Stripe, you enter your payment details directly with Stripe, we do not receive them. We store your Discord user ID, the Stripe customer and subscription ID, the status, the chosen plan and the end of the billing period in order to assign Premium (Art. 6(1)(b) GDPR). Data is transmitted to Stripe (Stripe Payments Europe, Ltd., Ireland, and Stripe, Inc., USA), Stripe's privacy policy applies. We delete the data on request, unless retention obligations prevent this.
8. Disclosure
Your data is only passed on to third parties where necessary for the features, namely to our host Hetzner, to Discord, to Patreon and to Stripe. We do not use advertising, analytics or tracking services.
9. Your rights
You have the right to access, rectification, erasure, restriction of processing, data portability and objection. You can withdraw any consent given at any time with effect for the future. To do so, use the contact details in the legal notice. You can also lodge a complaint with the data protection supervisory authority responsible for you.
10. Changes
We update this policy when features or legal requirements change. The version published here applies.
